Differing task Types

Posted: 09 May 2005 07:23 AM PDT

Hi Steve,

Welcome to this Microsoft Project newsgroup :)

Not that I'm aware of. It is a task-level setting that Project takes into
account when you change the assignment of resources on that task. Should
you do so, then it could result in a recalculation of all the projects in
your integrated plan depending upon how they're linked. Ditto if you level
resources after making the changes.

FAQs, companion products and other useful Project information can be seen at

Hope this helps - please let us know how you get on :)

Hi Rod

Thanks for the info. Is there a better way to achieve what it is I am
trying to do? It sounds by your email as though this method could be at
risk of corruption, particularly as a number of people could be updating the
projects.

Thanks again

A method to have only durations?

Posted: 07 May 2005 12:07 AM PDT

Thank you for the explanation and being patient with me.

Yes, "Elapsed time" is more accurate than "duration" and I will remember
that.
The frustration with this entire process is this:

We simply want to enter a task ID 800 and the "elapsed time", in calendar
days, that the vendor will have site access, because that is written in
their contract--X days. [weekends, holidays, nights do not matter, it's X
days]

Then, as we negotiate with other vendors for their start dates and "elapsed
times", we can easily determine the CP and sequencing. Now we see that task
ID 750 is the previous event and task ID 850 follows this one.

So, we click to link 750 to as the previous event to ID 800, then task ID
850 to follow.

But no matter how we mess around, we can't get ID 800 to simply reflect 10
elapsed days.

But we will try again Monday, using calendar and options.

Thanks again.

Dur. Estimates, Assignments & Leveling question

Posted: 06 May 2005 01:45 PM PDT

FYI, the assignment percentages don't mean quite what you may think they
mean. If a resource is assigned X percentage to a task of Y duration, it
does NOT mean he's only working on the task for that portion of the
duration. If you assign the SME to a 6 hour task at 33.3%, it means he's
physically working on the task over the course of all 6 of those hours but
he's also doing other things at the same time and so is only producing what
he'd get done in 2 hours if he was giving it his full attention. A similar
reasoning applies for the DEV. If you assign both the SME at 33.3% and
the DEV at 66.7% to a 6 hour hour task and then look at the resource usage
view with the timescale expanded to show the hours though the day, you will
not see the SME working 2 hours and the DEV working 4. You'll see them both
working side by side for all 6hours but the SME will be generating 20
minutes of work for each hour on the task (.33 hr) and the DEV generating 40
minutes.

If you really want to show the SME puts in 2 hours and then goes away while
the DEV comes on-board at that point and continues on for 4 more hours, you
need to show it in one of two ways. You can show it with the lesson is a
summary task with one 2-hour subtask under it with the SME assigned at 100%
and a second 4-hour subtask with DEV assigned 100% to it and the two tasks
linked FS. Or you can show the lesson as a single 6-hour task and then use
the split screen to enter the assignments in the bottom Task Form window,
Resource Work formatting, entering the SME assigned 100% and 2 hours of work
and the DEV assigned 100% with 4 hours work AND a 2-hour delay for his work
entered manually as well. This means the SME starts at the beginning of the
task and devotes full attention to it for 2 hours, then the DEV comes on and
devotes full attention to it for the remaining 4. Either of these two
methods will distribute the work correctly, but in choosing which one to use
I'd personally prefer the former. The work itself of the SME and the DEV is
quite different and the SME's work is producing a unique deliverable that is
then handed off the the DEV as input for his work. The DEV's output is
quite different from the SME's output. This quality of the difference in
the nature of the work itself and the uniquness of the deliverables produced
by each resource indicates they are two separate and clearly distinct tasks
and theoretically they could even be done at separate times (the SME writing
up a set of notes and then sending them to the DEV who writes the lesson
later).

As I write the above it occurs to be that I'd expect the DEV to actually
devote all 6 hours of the task's duration to it, an assignment of 100% to a
6-hour task producing 6 man-hours of labour. Whenever I have been
personally been involved in or observed similar work activities, the writer
and the subject matter expert work together at the start of the task to
determine the lesson content, then the SME goes away and the DEV then writes
up the lesson document itself based on the notes he kept during the
conversation with the SME. IF that's the case for you, the most accurate
model of all is to show the lesson as a summary task, with the SME's work a
2-hour subtask and the DEV's work a 6 hour-subtask, both resources assigned
100% to their respective tasks and the two tasks linked SS so they start at
the same time. The summary task's duration will be 6 hours since the two
subtasks occur in parallel and the lesson will require a total of 8
man-hours of work.

As an aside, I'm curious how you can determine in advance the amount of work
each lesson will require and say they are all equal? Have you actually
determined experientially that it requires 6 to 8 man-hours of effort to
write a lesson or is it based on "managment by objective" logic like "We can
only afford for them to take 6 hours to write a lesson and so that's what
they'll have to do it in"? Basing it on historical duration - "In past
projects Joe Writer has produced on average a lesson a day" - seems more
reliable. I'm always leery of precise advance work estimates as opposed to
duration estimates when the output is an intangible (and in your case, while
the typed up lesson is a tangible output, the content of the lesson - the
substance of the work effort itself - is not). And estimates of either work
OR duration for creative endeavors such as writing are never very tidy -
some modules may fly out requiring only a couple of hours to knock off while
others may fester for days before the creative "Ah HAH, that's the way to do
it!" moment occurs.

Urgent: Resources and Linked Projects Problems

Posted: 06 May 2005 11:02 AM PDT

There is a much simpler solution. Create a Resource Pool, a file with
only resources in it. All your resources. Then, link your separate
projects to it. Open each file while the Resource Pool is open. Go into
the schedules and do a "Tools, Resource Sharing, Share Resources".
Leave the default settings and click OK. Do the same for every file you
want to share the Resource Pool.
When you want to create the Master Project, open the Resource Pool. A
dialog box with 3 options will appear - select option 3, "Create Master
Project" (or something like that. I don't have Project on this
computer). Project will then make a composite which will have all the
projects in it, and without the problems you've described.
Best of luck!

Earned value calculations

Posted: 05 May 2005 11:00 AM PDT

If Project is applying work in the future you';re taking the shortcut of
simply marking a task with X percentage complete without entering actual
work on the dates it occured. Updating the task with % complete using the
toolbar or the "Update Project" tools in the Tools Tracking menu the
percentage assumes the work on the task has been done exactly according to
plan. If it's antythhing else you need to post it the long way by entering
the ACtual Start date for the point in time where the work was first done on
the task and entering the Actual Duration and Remaining Duration fields or
using the Usage View and entering actual work hours on the days where the
work was done.

Overwriting a Plan on Project Server

Posted: 04 May 2005 09:31 PM PDT

Greg --

Your PM screwed up big-time by saving an .mpp copy of his project and then
making revisions to it while team members were submitted progress on that
project. What he should have done is to save the project as an Offline
project (File - Save Offline) and then he would not be facing these
problems. To solve this problem, somebody is going to lose something in the
process. Therefore, I would recommend the following process:

1. The PM should accept all tasks updates into the old version of the
project and ask team members to cease submitting actuals
2. The PM should save and publish the old version of the project
3. You (the PS admin) should delete the project and its accompanying WSS
subweb from the Project Server database
4. The PM should import the new version of the project using Tools -
Enterprise Options - Import Project to Enterprise
5. The PM should publish the project using Collaborate - Publish - All
Information
6. The PM should republish all assignments using Collaborate - Publish -
Republish Assignments with the "Overwrite actual work entered by resources"
option selected
7. The PM should ask his team members to RESUBMIT actuals for all
in-progress tasks, even if they submitted those same actuals in the old
version of the project
8. The PM should promise NEVER to do this again!

Hope this helps.

Leveling Splits Tasks Into Small Pieces

Posted: 04 May 2005 02:52 PM PDT

Leveling doesn't assign resources or change their assignments. All it can
do is delay when some or all of their work on the task will take place in
order to resolve double bookings. It can split the task up when necessary
to resolve overallocation conflicts with a higher priority task in a time
frame shorter than the task duration or you can set it so it will move the
entire task as a block to resolve an overallocation during any part of it.
Joe is booked to task A for 5 days starting Monday. He's also booked to
higher priority 1-day task B on Wednesday, higher priority meaning it's more
important for B to start and finish Wed than it is for A to finish Fri.
Leveling will either split A to free him up on Wednesday, moving the
remainder of A to resume Thursday and finish Monday or it can move the
entire task A to start on Thurs and finish the following Wed. (Using days
for illustration but the principle applies equally to hours as well.)
Anything more sophisticated than that you'll have to resolve by hand.

it's tons better than that train wreck you get with SBS. It's cheap as

External Mail to Public Folders appearing as News

Thanks for the speedy response Leif!

Sorry but no joy!
I am running Exchange SP1 under Windows 2003SBS and the article you
referenced suggests I do not need to update anything as I'm already on SP1.
So I created the new registry key
HKEY_LOCAL_MACHINE\System\CurrentControlSet\Servic es\MSExchangeIS\<ServerName>\Public-<GUID>
and set the value to "1". I've restarted Exchange (twice) and rebooted the
server, but it is still logging incoming Public Folder SMTP as IPM.Post.

It appears that my version/configuration is not sensitive to this registry
key, however according to http://support.microsoft.com/?id=817809 the way to
accomplish this is to install SP1. However SP1 came pre-installed on my
system...

Any more thoughts?

Some industries also have government mandated retention period.

The your company's legal department can dictate a retention policy. The
difference between a company's and government is that government policy
dictates a minimum amount of time you must keep the records. A company
policy dictates a maximum amount of time. In essence it maens that if
your company dictates a 12 month policy, at no time will there ever be
anything older than 12 months on your systems. It does not mean you can't
delete stuff that is less than 12 months, just that you can't keep
anything longer than that.

Bullets and numbered lists question

Posted: 21 Apr 2014 02:57 PM PDT

I refer again to the advice given by Shauna Kelly re numbered lists and also bullets.

I've tried it all out and it all works well, as you would expect from her excellent articles.

Am I right in thinking that the best bet would be just to set up a template with the various list styles one uses most often set up and ready to go? That way one just starts a new document and the styles are all there? Sorry if that seems an obvious question. I just wondered if there is any disadvantage to doing it this way? It would obviously take quite a while to set up all those different levels if one was to do it every time one started a new document!?

Styles and Multi Level Lists in Word 2013

Posted: 21 Apr 2014 02:03 PM PDT

I have Office 13 (Windows 7 OS) and am in Formatting ****. I've noticed many articles that explain Styles and formatting for earlier versions of Office, i.e. "How to create numbered headings or outline numbering in your Microsoft Word document" on the following website: http://www.ShaunaKelly.com/word/numbering/OutlineNumbering.html but find most of the content is for 2007 with some for 2010. Do the same rules/techniques apply for 2013 or will I be even more confused if I try to figure out my issues using info for 2007 or 2010? My biggest issues are the indents, tabs and spacing. If I create a new multi level list and set indents for .5 for the heading with .5 for hanging text, I end up with my paragraphs all over the place. Is there any information that provides an explanation of each drop down box for setting up a new multilevel list? I frequently use Styles to establish formats I use regularly, but this version of Word is making me crazy. My styles seem to change at will midway through a 100 page document. I could write pages giving examples of just how diabolical this function is! How is it possible that Microsoft has made such incredible leaps in technology, but can't provide an easy way to set levels? They need to work with those of us slugging it out everyday behind a computer to see how frustrating this function is. Help!

Microsoft Word not saving changes?

Posted: 21 Apr 2014 02:01 PM PDT

I am using Office 2010 on a Windows 7 Enterprise computer.  I do have limited administrator access on the computer.

While working on a document, I manually saved with Ctrl + S regularly (every ten minutes or so).  I did have several other large files open, required to complete work on this document.

Word then crashed, and I had to kill it with the Task Manager, expecting that the work I had saved every 10 minutes would be there.  It was not.  All changes I had made to the document have been lost.

I have tried to recover the unsaved files from the "versions" menu, but it is not listed.  I am unable to find the document in other folders, and a Windows search has only turned up the original document, with no content saved.  Is there a way for me to recover the document, or am I just stuck redoing three hours of work?  I would guess the latter, but if there is a way to recover my file, I would prefer that.

Word (2003) documents when attempting to open are not visible on my pc desktop screen

Posted: 21 Apr 2014 10:00 AM PDT

When I attempt to launch Word you get a very quick flash of the Word document icon on the desktop before it disappears at the speed of light totally off to the left of the screen never to be seen again. Frustrating part is you can see on the bottom toolbar that a Word document has been indeed been opened. Thought this was connected to a Windows update download as had the same problem a month ago and then Word started to work again following further Microsoft updates but following another Windows update last week Word has gone absent once again - very frustrating - any ideas would be very welcome - many thanks

Is it possible to add a bulleted list into an existing line of text?

Posted: 21 Apr 2014 09:55 AM PDT

Ok so I'm working on a resume and trying to add a bullet list to the word file. I have everything I want exactly the way I want it except for this one part. I need the bulleted section under skills to line up with the word skills. I don't want to use a table but everytime I try to change it, it either deletes the first bullet point or adds a bullet to the word skills... any solutions or work arounds?

No longer able to ink in Word 2013

Posted: 21 Apr 2014 09:32 AM PDT

I have an HP Elite Book Table PC. I was using inking in Word when it suddenly stopped working. The pen is fine and works in Windows Journal and works fine as a mouse pointer. When I am on Word and bring the pen close to the screen, it brings up the inking options, but they are all grayed out. It has been like this now for several days. What can I do to be able to ink in Word again?

Thanks for any and all feedback.

Excel 2010 spreadsheet embedded in Word 2010 document is an empty box

Posted: 21 Apr 2014 08:23 AM PDT

Hello.

I cannot see the contents of any Excel 2010 spreadsheets embedded in Word 2010. The version is 14.0.7121.5004, SP2 MSO (14.0.7116.5000).

I can create a new Word document in .docx format, insert a new blank Excel spreadsheet and all that's displayed is the outline of the embedded object. I can double-click it and the cells become visible and I can edit the spreadsheet. I've tried disabling all Add-ins but the behavior persists. Any suggestions?

Thanks.

Restrict Editing of Pasted Items.

Posted: 21 Apr 2014 08:17 AM PDT

I have 2 documents that I am using. The first is a document that has restricted editing to filling in form fields. The second document is a PDF or Word file with a list of questions on it.

I would like to be able to copy questions from the second document and paste them into the form document and restrict the ability to edit the question being pasted.

Both documents are protected so that you can edit them, but once you past into the form field you can edit what is pasted there... I need to restrict the ability of people to edit the data being pasted from the other source document (pdf with questions).

Any help is appreciated.

Can't save Office file via network shortcut

Posted: 21 Apr 2014 06:53 AM PDT

Hello, first time poster here... wondering if someone might be able to help with a problem I'm having.

I have a number of W7 machines in my company and they should be fairly standard.  We have just introduced a SharePoint 2013 site and I have created a number of .url Network Shortcuts (e.g. C:\Users\first.last\AppData\Roaming\Microsoft\Windows\Network Shortcuts\TeamArea.url) in place of the mapped network drives that were used previously.

These links work when clicking to open and for most people they seem to working for saving to, however, for an unfortunate few (and for me) attempting to save to these locations tries saving the documents with the shortcut name (e.g. TeamArea.url.doc).

I've tried to compare machines and I can't see what's different.  The documents appear to save ok using Office 2013, but there are these machines which Office 2010 doesn't work as hoped with.

Has anyone experienced anything similar to this or know what the cause might be?

Many thanks in advance

Security Warning About Add-ins

Posted: 20 Apr 2014 04:38 PM PDT

Every time I open a Word 2010 document I get a Security Warning message:  "Some active content has been disabled.  Click for more details."  It also gives me an "Enable Content" button even though it doesn't tell me what that content is that it's suggesting I enable.  This happens even if I'm creating a new document.  If i click on the "Some active content..." link, it takes me to the Document Info screen with another "Enable Content" button, but this time it tells me "the following content has been disabled:  Add-ins."  Of course, it doesn't tell me which add-ins.  So, I go to Options | Add-Ins and see that I have no active Add-ins of any kind and 6 Inactive Application Add-ins:

ActionsPane Schema for Add-Ins (no publisher)

Custom XML Data (Microsoft)

Headers, Footers, and Watermarks (Microsoft)

Hidden Text (Microsoft)

Invisible Content (Microsoft)

Microsoft Actions Pane 3 (no publisher)

I'm assuming these are Inactive since I don't push the "Enable Content" button.  Since that "Enable Content" button doesn't tell me exactly which content I'm enabling, I doubt I'll ever do so.  The problem is that I can't get rid of those Add-ins and, thus, stop the warning message.  Selecting and right-clicking on the Add-in names gives me no options.  Going down to the Manage drop-down at the bottom of the page and running through the selections there gives me nothing to actually delete the Add-ins.  Going to the Locations specified for the Add-ins and renaming the file (at least for the 4 Microsoft Add-ins contained in OFFRHD.DLL) changes nothing.

Assuming these Add-ins are not essential to the running of Word (or Office) 2010 (though how they could be since I don't activate them), how do I delete them?  Is there something else I should try to stop that "Security Warning" (besides just turning the option off)?

Virus scanning

Posted: 02 Sep 2006 12:18 PM PDT

Hi Rick,

If you're running Norton/Symantec Antivirus open the control panel for that product and in the miscellaneous category remove the
Office Plug In. MS Office apps provide hooks to Antivirus software vendors to use to tie into the products. The Office Plugin is
one product that uses those hooks and it's usually relatively slow in getting done.

It is my understanding that the newer versions of Office software has a built
in virus scanning feature in the Office product. I used to have Office 97
loaded, and I didn't have to go through a "virus scanning " routine when I
started Word or Excel. I'm wondering if I can disable or deactive the Office
2003 built in virus scanning feature.

"Please install Office 2003 first" is displayed during MUI install

Posted: 31 Aug 2006 11:15 AM PDT

The basic situation, as I understand it, is that with the English Office 2003
install, the office menus, dialogs, etc are still in english, and not
locaized to spanish.

The MUI comes in in an attempt to correct that situation (without having to
purchase a localized version of Office Pro, since we had already purchased
the Office MUI pack).

I just can't figure out why the MUI installer thinks Office 2003 Pro isn't
installed. Do I need to slipstream an MUI service pack into the MUI install
set first? I'm reasonably sure that the Office install on this machine has
all of the Office updates applied, but I don't know if that would make a
difference.

I don't know if the copy of Windows is an OEM spanish version or retail...if
it makes a difference, I'll ask, but I know that it's not English-language
windows with the windows MUI for spanish. It was purchased in Costa Rica by
the user in question, but I don't know if it came with the PC, or if it was
purchased seperately (an after the fact).

Perhaps if you explained what you did and what the results were someone can
help you. Posting "I can't install Office XP. What's happening?" can be
answered in many ways.

1. You don't have the CDs.
2. You have the CDs but they are scratched.
3. You have the CDs but not the product key.
4. You have get the error message "xxx".
5. The CD-ROM can't read the disk.
6. You're not connected to the internet and you can't activate it.

Shall I continue or are you through wasting my time?

Activation of multiple users

Posted: 29 Aug 2006 08:43 AM PDT

Huge companies use volume license so that "N" number of ppl can use it.
Its just that it requires license for each user on the Terminal Server.
Thats why its written in that article that you have pasted "if a license
exists for each user
who will run any of the Office 2003 programs"
Additionally there are MSDN licenses which i think supports 10 users.

OK, so the problem now is the SP1 AIP does contain post-SP1 updates. Repairs
will not work correctly until i rerun the office setup from the SP2 source
(the recache command may work from the SP2 source too... but I have not tried)

This is what I am running on a SP1 workstation (from SP2 source)
SETUPPRO.EXE REINSTALL=all REBOOT=ReallySuppress /qb

This is what I want to do now and for future ease.

1) Copy the SP2 AIP to local
2) Run the above command on the workstation
3) Future updates i.e. SP3 would be installed by running the FF MSP

sorry for the rehash of info...

Office 2007 install probs - Registration window quits unexpectedly

Posted: 28 Aug 2006 06:56 AM PDT

Hi Sander,

It could be a damaged download or an incomplete install.
See if these steps make a difference.
===========
1. Backup your PC/files for safety.

2. Use Start=>Programs=>Accessories=>Disk Cleanup
to clear your Temporary Internet files and temp files.

3. Restart the PC. You may want to set a restore point
from Start=>Programs=>Accessories=>System Tools

4. Locate your 2007 Office Professional Beta 2
download file and note the folder/path location.

5. Create a new folder on your PC and note that
folder/path location.

6. Use Start=>Run , and on a single line, type in
the following (using the path & file names from
Step 4 & Step 5, above)

"drive:\Step4PathOfDownload\downloadfilename.e xe" /extract:"Step5path"

example: If saved your download in a '\downloads' folder and then created a new empty folder named Off2007ProB2CD1 to hold the
Office 2007 CD image that you're about to create, then the Start=>Run line would look like this sample (the use of quotes and spaces
is important)

"c:\downloads\OPPLUS-EN.EXE" /extract:"C:\Off2007ProB2CD1"

7. If the extraction is successful (you'll get a dialog box telling you it was after a few minutes). Shut down all running apps,
utilities, email, messengers, and antivirus.
Now double click Setup in your new Office 2007 CD image folder (the folder you created in Step 5).

Or, if the extraction in step 6 does not succeed then
the Office 2007 download may be damaged/corrupted. To help determine that usse Start=>Run and type
%temp% {enter key}
then locate in that folder the the Setup.exe(xxxxxxx).log
(file) just created (check the date and time if there are several) and see if that log file yields has any clues on where the
extraction failed.

Post back with the results either way please.

HELP - OFFICE XP Installation Hangs

Posted: 25 Aug 2006 11:33 AM PDT

I will try your suggestions but will not be able to do it until this weekend
as my son took the machine to school. I am having him bring it back this
weekend.

Based upon Mary Sauer's reply I checked the registry keys on a machine where
Office is working fine and the problem machine. The Software \OBDC keys were
the same on both. The Software\ODBC keys were identical except that the
problem machine has threeextra keys in the first section. Two of the extra
entires referred to a CBA thingamajig and a specific directory that was empty
on C: (C:\CBA if memory serves). I deleted those keys and tried to reinstall
and it hung again. The third entry wwa part of a Dreamweaver setup (I think
that is a program my son uses in school) so I left it there in order not to
screw up that program.

I really appreciate your taking the time to help me. I will get the Verbose
log to you sometime over the weekend.

Thanks,
Mike

Where did your Office XP CDs come from? That is, are they "off the shelf"
