Calendar duration Microsoft Project

Calendar duration

Posted: 24 Jul 2004 01:21 AM PDT

You need to convert from days to minutes because the core data storage
tables store durations as minutes. Hence DateDiff with "d" as the interval
gives you the number of days between two dates and you need to multiply them
by the MinutesPerDay (carries the number of working time minutes in a "day")
variable to get the duration.

You can also use the ProjDateDiff() function and that returns the duration
directly without having to do any conversion to minutes.

Once again I have to ask, though. Why are you doing this? You are in error
in your statement in your original question message when you say that
Project's durations are actual work on a task. They are not. They are the
time interval between Start and Finish expressed in *calendar* time units,
precisely what you say in your question that you want to calculate, and the
exact textbook definition of "duration.". Carsten >> " Is it possible to
calculate and show in a field the calendar time between Start and Finish?"
Other than an academic exercise to understand the date functions, why are
you re-inventing a field that is already there in even the most basic views,
the plain vanilla duration field as shown in the Gantt chart task entry
table?

The phrase "calendar time" used such as in your question refers to the
calendar that governs when the task may be scheduled - initially the Project
Calendar, or, when a resource has been assigned or a task calendar defined,
the resource or task calendar respectively. If our Project Calendar is the
default 08:00-12:00 & 13:00-17:00 M-F workweek, one "day" of Duration is 8
clock hours, the amount of time during a 24 period that the calendar says
work could possibly be performed if we wished. An Elapsed Time (sometimes
called elapsed duration but that phrase can be easily confused with
duration) day is always 24 hours. Work is the amount of effort actually
expended by a resource over a period of duration. For an individual
resource over any arbitrary period of time, the inequality "Work <= Duration
<= Elapsed" will always be true.

So duration is measured against the calendar while elapsed time is measured
by clocks. Thus a task that starts Mon at 8am and ends Fri at 5pm has a
duration of 40 calendar hours or 5 calendar days. Its total elapsed time is
105 clock hours or 4.375 24-hour clock days. Its actual work depends on how
many resources are assigned and what their assignment percentage may be.
Which of these values is it that you're actually trying to calculate -
duration or elapsed time? In other words, for the task running from Mon at
8 to Fri at 5, expressed in hours what number do you want the answer to be,
40 or 105 or are you looking for something else altogether?

Hi Gerard,

Thanks for the reply.
I have tried to fool around with Datediff but with weird
results.
What are the valid time intervals?
If I use your example, why do I need to multiply with the
number of minutes? If I do I actually get a number that
is 3 times the number I am looking for.
The calculation does not work on summary tasks either.
Is this the only way to do it?

Task Duration showing on Calendar view

Posted: 23 Jul 2004 01:58 PM PDT

Hi Susan,

In addition to Mark's suggestion, if the project file has
not grown too large, you may wish to put in milestones
for your deliverables. Because milestones have 0
duration, the start and finish dates are the same date.

Then in the calendar view, filter the project for
milestones and the bars which have the long durations
will disappear, showing only your "due dates"

Hope this helps.
Julie
things out well except I'm not having luck in this one
area.... Is there a way to display tasks in the calendar
view using only the finish date? We have many, many tasks
over long durations so we get lots of bars going across
our calendar. Ideally we'd like to print the calendar
showing due dates only (without the duration bars). Short
of changing all our start/finish dates to the same date,
is there another way to do it? Thank you in advance for
any tips!

Yep - a deadline on a task effects the slack time calculations in the

Hi Rob, thanks for the response.

We do currently publish a pdf version, some formatting and clarity is lost
[ie: when trying to show the whole year] Have worked on this to the point
where we can get decent results printing large format to a plotter. MS
Project print clarity is much better than pdf version though. I do like the
idea of a carbon copy of the schedule for distribution, but this needs to be
a dynamic schedule as we measure compliance to baseline.

Work processes looks like the way to go for now.....
thanks again for the reply,

Date problem...

Posted: 22 Jul 2004 02:23 PM PDT

You said it yourself - you're putting in a plan of action to achieve certain
goals. But the reason for using software like MSP is to figure out what
plan will work to meet those goals and what plan won't. If Project
calculates some dates that don't meet the goals, then trying to do the work
in the manner you've input to Project won't meet them either. Do you really
want to force Project to display planned dates that *won't* work - pretty
pictures that have no relation to reality - or do you want to use it to help
figure out a plan of action that *will* work? You know what tasks need to
be done. You have an idea how long each one will take and the sequence that
the process demands. You know the resource assets you have to accomplish
them with - and those you have certain control over, you can direct someone
how many hours a day they need to work on something, for example, or can
recommend we hire some temps for the month of August. You know the start
date - that you also might control. Given those inputs, Project figures out
for you when it *will* end. You don't tell it the end date - it tells you
what end date you're going to get if you do the work in the manner you've
envisioned. It's a reality check to see if the end date they're claiming is
actually do-able. If it isn't, do you want to just display wishful thinking
and have to explain later why it didn't work out as planned or do you want
it to help you figure out what you need to do, i.e. what to change among the
things you do control, to actually meet the objectives? MS Project is
designed as a modeling tool to help you do just that - perform all the
calculations so you can experiment and figure out what is going to actually
work for you.

It sounds like you're passively recording what people are telling you is
happening or will happen. Reverse the flow of information. *You* tell
*them* what they need to do to make it all happen as it's supposed to. MSP
is project management software and the PM is the driving force, the leader,
the organizer, that sets the direction everyone else in the project is
supposed to follow. MSP is your adjutant in that process, your calculator
that helps you figure out what marching orders to issue the troops so you
achieve the objective <grin>.

link MS project columns to specified excel file

Posted: 22 Jul 2004 11:22 AM PDT

Majid,
Yes, you can use a Paste Link, but use caution because paste links are
prone to corruption and they will not automatically follow the files if
the files are moved.

To use a Paste Link, select the Project field cell that contains the
desired data and hit "Copy". Then go to Excel, select the receiving
Worksheet cell and go to Edit/Paste Special/Paste Link. Normally you
should select the link type as "text" but depending on the data,
"Microsoft Excel format" may be more applicable.

Hope this helps.

1 task to be used in multiple activites

Posted: 22 Jul 2004 04:03 AM PDT

Sounds like you need to anonymously slip him some materials on project
planning methodologies <grin>. I'm not an expert on use case methods by any
means but to my understanding it is an approach to analyzing what needs to
be done so as to detail the required functionality. The result is a
detailed description of the what the final project deliverable output is
supposed to do, a product specification document. But it doesn't detail
all the individual steps that are required to produce the deliverable that
does what the use case study says is required. In my classes I try to make
clear the distinction between *product* specifications and *project*
specifications. The product specification details where we want to go and
use case studies are a very good way of determining that. The project
specification details what we need to do step by step in order to get there
and its output is a schedule that tells Joe that he needs to be at X on
Friday at 10am with the tools required to do Y for 3 hours.

Task Updates using Web Access

Posted: 21 Jul 2004 11:00 AM PDT

Yes! Sean's answer addresses the question!

Suppose you use method (ii) for reporting, and you have a task that was scheduled with 8 work hours. Using your example, the resource has worked for 2 hours (25% of the 8 scheduled hours), so, he registers 2 hours at Actual work. Project calculates 6 hours of remainig work, and a 25% complete.

Now, the resource updates the remaining work cell and writes 2 hours. Now, Project changes the task's work to 4 hours instead of 8, and calculates a 50% advance. If you saved a baseline, then baseline work for this task is still 8 hours.

Method (iii) gives you the same results, with the addition of being able to register how the working hours were distributed every day, allowing Project to know the actual start and finish dates. However, this method requires more discipline and tracking by the resource and the Project Manager.

Greetings.

means. Office 2008 does NOT support VBA, and any Office 2004 files with
macros will open, but the macros will NOT run. Can both office 2004 and 2008
be installed on the same machine and work without interfering with each
other? Probably, but we'll know for sure next week.

As far as interfacing to SQL, this is quite possible with Office 2004. Look

I know this isn't what you want to hear [and I don't blame you:-)] but the
characters in the keys can be quite deceptive - it sometimes requires every
conceivable combination of l's versus 1's (that first is a letter, the
second a number) & O's versus 0's (which are less often the culprit, but can
still be a PITA).

Another possibility - where/when did you obtain the software? If someplace
like ebay or elsewhere on the web, it wouldn't be the first time somebody
stuck a CD in another's wrapper & passed it off as "new"... If it's a copy
you've had for a while is it possible it may have gotten switched with
another copy accidentally?

Did the Macbook ever have the Office 2004 Test Drive installed? If you
installed X without a complete & proper Removal of the Test Drive that could
be the cause of the problem. If so, let us know.

-= harassment. at work -=
-=-=-=-=-=-=-=-=-=-=-=-=

Once I stopped watching television and listening. to the radio at the end of
1990,. "they" had to find other ways of committing abuses. So they took what
must be for them a tried and tested route; they get. at you by subversion of
those around you. Since they wouldn't be able to do. that with my family or
friends, that meant getting at people in the workplace. to be their
mouthpieces and do their dirty work for. them.

They supplied my employers in Oxford with. details from what was going on in
my private life, and what I and other people had. said at my home and
accommodation in Oxford. So people. at work repeated verbatim words which
had been said in my home,. and repeated what I'd been doing recently. Often
the. most trivial things, the ones from your domestic life, are the ones
which hurt most.. One manager in particular at Oxford continuously abused me
for ten. months with verbal sexual abuse, swearing, and threats to terminate
my employment. After ten months I was forced to seek psychiatric help. and
start taking medication, and was away from work for. two months. I spoke
later with a solicitor about what had happened at that. company; he advised
it was only. possible to take action if you had left the company as a result
of harassment, and such an action would have to be started. very soon after
leaving.

Over a. year later the same manager picked on another new worker, with even
more serious results; that employee tried. to commit suicide with an
overdose as a. result of the ill-treatment, and was forced to leave his job.
But he didn't take action against the company,. either. Abuse at work is
comparable to that elsewhere in. that tangible evidence is difficult to
produce, and the abusers will always have their. denials ready when
challenged. And even if a court accepts. what you say happened, it still
remains to. prove that abuse causes the type of breakdown I had at the end
of 1992. In a recent case before a British. court, a former member of the
Army brought a case against others who had. maltreated him ten years
previously. Although the court accepted that abuse had occurred,. it did not
agree that depressive illness necessarily followed, and denied. justice to
the. plaintiff.

Many people know, both in the. establishment and media, and among the
general public. Despite an absence of its target from the UK for more. than
two years, the echoes of paranoia can still be heard. loud and clear from
across the water. When it started in 1990, the only people who knew. were
those in BBC television who were. spying on my home, and a few radio
broadcasters. There. were a few cases of public harassment, but very little
compared to the situation. that developed a couple of years later.

The list. today includes BBC TV staff (newsreaders such as Martyn Lewis,
Michael Buerk, Nicholas Witchell), people from. radio stations such as
Chris Tarrant of Capital and Radio 1 DJs, people in the print. media, but
also many people in the general. public. All united in a conspiracy which
breaks the laws. which the UK does have regarding harassment, and all
completely uncaring for any. semblance of decency or elementary respect
for. individual rights.

The British police (obviously) do know. the nature of the harassment and in
all probability. the identity of those behind it. Some time ago I made a
complaint to my local. police station in London, without positive result.
The. UK police are failing in their duty to see the law enforced in not
checking the. abuse.

-=-=-=-=-=-=-=-=-=-=-=-=-=-=-=-

The harassment didn't start by itself, so someone must have been. there at
the outset to give it a firm push and set. the "animals" after me. It looks
as. if I was set up in June 1990, and the timing indicates someone from
university was. responsible.

In May or June 1990, Alan Freeman on Radio 1 read. out a letter from someone
who had known me for a few years, who wrote of the. one who "wore out his
welcome with random precision" (from the Pink. Floyd song). Freeman went on
to say to the. writer "that's a hell of a letter you wrote there". The
indication is strongly that people I had. parted from soon before nursed a
grudge against me and were trying to cause. trouble for me.

The suggestion is that Freeman. might have shown the letter to other people,
and things could have snowballed from there. Right from the. start the real
source (security services. presumed) didn't announce themselves as the
origin, but let the. "talkers", the radio DJs, believe that they were the
originators. Think about it; if. you announce, "we're MI5 and we have a
campaign against this bloke" then people might not go along. with it; but if
you say, "everyone else is getting at. this bloke because he 'deserves' it"
then people. will join in with fewer qualms.

It's the. classic case of hitting a cripple to prove you're stronger. Why
would the security services expend hundreds of thousands of pounds and. more
than six years of manpower to try to kill a British citizen? Because. they
are motivated. by people who knew me at university and feel personal
animosity; because they knew me to be emotionally weak, and it. is in the
nature. of bullies to prey on those known to be weak; and because they can
rely on the complicity. of the establishment, which the security services
manipulate and derive funding from. This is. England's biggest humiliation
today, and the British security services are intent. on preventing their
humiliation becoming reality. by continuing their campaign of attempted
murder to. suppress the truth from becoming public.

PO: >I thought that was happening to. me, I'd search the place from top to bottom,
PO: >I mean I live there I would know if anything was out of place.. If I was
PO:. >really suspicious, I would call in one of those bug detection teams which
PO: >have those machines that pick up the transmitted. radio waves. This
PO: >reminds me of BUGS, that new. programme on BBC1 on

That's exactly what. we did. We went to a competent, professional detective
agency in London, paid them over 400 quid to debug our. house. They used
scanner devices which go to over 1 GHz and would pick. up any nearby
transmitter. in that range, they also checked the phones and found
nothing... but if the tap was. at the exchange, then they wouldn't find
anything,. would they?

CS: >Doesn't this suggest to you that. there are, in fact, no bugs to be found?

You can assume that they've. done this sort of thing to other people in more
"serious" cases, where they would know the targets. would suspect the
presence of electronic. surveillance. So they will have developed techniques
and devices which are not readily detectable either by visual inspection. or
by electronic means. What those techniques might be, I. couldn't guess.

In this case, the existence of bugging devices was clear. from the
beginning, and they. "rubbed it in" with what was said by the boy on the
coach.. It was almost as if they wanted counter-surveillance people to be
called in, who they knew would fail to detect. the bugging devices, causing
loss of credibility to the other things I would have to say relating to. the
harassment.

I did all the things someone in my situation would. do to try to find the
bugs.. In addition to calling in professional help using electronic
counter-surveillance, I made a close. visual inspection of electrical
equipment, plus any points where audio or video. surveillance devices might
have been concealed. Of course, I found nothing.. Normal surveillance
"mini-cameras" are quite. noticeable and require visible supporting
circuitry. It seems to me the best place to put. a small video surveillance
device would be additional to a piece of electronic equipment such as. a TV
or video. It would be necessary to physically break in to. a property to fit
such a. device.

I need to convert a very long list into a table

Posted: 11 Jun 2013 08:11 AM PDT

I need to convert a very long list into a table, I put in the separator charachters and then paragraph marks for the lines but the convert option is not available-its grayed out. Why? How can I get that option active?

efficiency

Posted: 11 Jun 2013 07:13 AM PDT

I don't know if it would be better to split these up and ask just one question per page - someone please tell me if so - but I would like to have a sense of "best practices" for doing the following. I do a lot of work from dictation by copying an earlier similar case and then modifying it on the fly. So I need ways to quickly move through the document for editing. Here are some of things I'd like to do (my hope would be to assign a keyboard shortcut to each if possible):

1. Select/delete a sentence.
2. Jump to the start of the next paragraph.
3. Jump to the end of the first line of the next paragraph.
4. Jump to the next comma.
5. Jump to the next period.
6. Delete to end of line.
7. Delete to end of paragraph.
8. Delete a whole paragraph.
9. Quickly find the Templates directory (to open or insert a template).
10. Quickly find my data directory (to open, insert, or save a document).
11. Change spacing. This would be where most of my paragraphs have only the paragraph sign at the end and a relatively small space between them and the next paragraph, instead of the old way of having two Returns after each paragraph so there's a paragraph sign on a line by itself. But then suddenly my doctor will start a numbered list--which then looks best with single spacing. I have found the menu choice of add or remove space before or after a line to manually go in and change each one, but I'm sure there must be a way to change some setting the first time I know it's going to be a list. And vice versa, by the way - sometimes the earlier copy of a document I'm starting with has a list and I no longer want the list or the single spacing.
Maybe it would be best to simply choose the single spacing and use a double Return after each paragraph - but since the numbered lists are definitely in the minority, doing it this way would spread most of the text out unnecessarily.
12. Switch from hanging indent to no indent (or back again).

So whether these would be macros that I created and then stored and assigned a hotkey, or whether there's some simpler way than that - I'd just like to know how to be more efficient at all this.

Thanks!

How can I stop the track change feature in Word 2010 changing list numbering to grey text

Posted: 11 Jun 2013 03:31 AM PDT

I have recently gone to Word 2010 and find that when I have the Track Change feature enabled if I make changes to a numbered list the "numbering" shows in gray text.   I cannot seem to find any setting to alter this.

Also, if I insert multiple new paragraphs in the list the numbring repeats itself!

e.g.    I add a new level (a) which shows as an insertion with numbered level (a) and text in red as expected.

Then I add a new para (b) but this shows (a) in grey striketrhough text (as if it were a deletion) followed by (b) in grey and then the text in red.

Any explanation or tips would be very much appreciated, its driving me nuts!

Thank you,

Donna

Now I"m stuck trying to get a numbered list that is flush left:

Every time I put the 1. and a tab everything jumps in a few spaces to look like this:

   1.   xxxxx
   2.   xxxxx

It looks to me like I'm choosing a list that will do what I want but I must not be. I can see the tabs shifting on the ruler and tried to change them back, but they won't stick once the numbers are in there.

I just installed MS Office 2013 Home & Student on my PC at home. It's an HP running Windows 7. For some reason, when I attempt to open up some documents on a flash drive, Word 2013 will open documents labeled "Microsoft Word Document," but won't bring up documents labeled "DOC."

My system wants me to download MS Works 9 to "play" those "DOC" documents. What is the deal with Word 2013? If it can't bring up .doc documents, that seems like a big drawback to me. I've been able to bring up these DOC documents before, on my work PC running Word 2010, without any problem. Is there something wrong with my installation or...?

Hi Josh,

Did you try ejecting the Office 2000 CD and insert the Office 4.2 CD
when asked for a qualifying product? For Office 2000 you should be
able to use any Office 4.x edition as a qualifying product - the
editions do not have to match.
