Microsoft Word - Table of Contents vs Cross-Reference

Microsoft Word - Table of Contents vs Cross-Reference

Table of Contents vs Cross-Reference

Posted: 19 Feb 2014 02:59 PM PST

Hello.

I was wondering if anyone might be able to help me determine which of these two would work best. I don't quite understand each one as I am not entirely familiar with either one. Let me provide some background though.

I am in the process of updating/redoing our Policies and Procedures and we are wanting to separate them based on the area (Education, Social Services, Disabilities, etc.). I did one using an Automatic Table and it seemed to work well, though it doesn't do entirely what we'd like. For each area there are multiple policies. Each policy has it's own letter assigned to it. However, my boss wants the capability for the policy # to update if we inserted one in between two letters.

For example:

Education policies are listed A-Z. We revise/add a new policy in between N and O. We now have N, --, and O. Is it possible at all to have it automatically change the policy #'s, for example N, --, and O to N, O, and P (and whatever else is after those)? Or is that not something that can be done? My boss just suggested I check into Cross-Referencing as an option instead of the Automatic Table, but I don't quite understand how it works. Any thoughts?

"Too many results to preview"

Is it possible to force "browse search" in Word 2010 to display more then 100 results?

It's a very useful feature for large documents, so it's unfortunate that it's disabled for large documents.

word doc problems with TOC/numbering and styles

Posted: 19 Feb 2014 08:33 AM PST

I have inherited a document, 100 plus pages, likely created with word 97 or 2000 and has been modified by at least 6-10 other users over the years.  The autonumbering is messed up (to put it mildly), in many sections its manually numbered, in other sections its automatic.

The TOC was generated manually, likely because the styles are also very messed up.

It appears (my guess) that previous authors tried to use styles to generate a TOC automatically, but also gave up. (Styles not implemented consistently within the document.  Before I tried to bring styles to some sort of semblance, complete paragraphs would be listed in the TOC.

I tried to modify the styles (manually modify  heading1, 2,3 etc) to be able to get auto document numbering   1.0, 1.1, 1.1.1, etc.

The numbering and styles appear to be very convoluted, despite my attempts the last three days to improve them, I've had very limited success in doing so.

I've read many tutorials, seen many pages, tried the various tips and bottom line is that they still do not play well with each other.

I even tried to start with a blank document template  and had limited success with that as well (margin formatting issues trying to cut/paste tables and diagrams from old version to new blank template)

When I apply styles, the numbering disappears at times, or numbering goes out of sequence, resorting with a restart to 1.0 or 1.1 . if I click on numbering, then the styles are eliminated and  consequently the TOC does not display that item. My choice is for some items either to display that single item in the TOC without numbering.

At times using the various tutorials and tips on various web pages such as ShaunaKellys website, I've had limited luck- it starts out fine, works for a couple of paragraphs  the a document goes from section 5.0 to 1.1 when I indent.

Can I reset styles to default or import a style format template to this document, to override the many things that were done by many different authors to this document?

Thanks

How to have Multiple Instance of Word 2003

Posted: 19 Feb 2014 08:21 AM PST

I am talking about a true second instance - not merely a word document in it's own window.      Example - I open two documents and I want to view File=>Page Setup in both documents.    The minute I do so in one document , I can not do anything in the second document.      Is there another version of Word that allows multiple instances?

Thank you

Cells in a Word Table

Hello,

Is there a better way to view cell references in a world table than manually counting down & across?  I think I can increase efficiency by having formulas.

my microsoft word 2013 won't open!

Posted: 19 Feb 2014 08:16 AM PST

So my Microsoft word 2013 wouldn't open so I googled how to fix it but all the solutions were for if when you clicked on it something came up saying error. For me that's not the case... When I click on it the little loading blue circle appears beside my mouse for a few seconds and then disappears and word 2013 doesn't open... Nothing happens at all. I tried some of the solutions for if it says error like updating my laptop and everything but nothing is working. The Microsoft word was working less than a month ago so I don't know why it stopped working! I don't really like phoning the helplines so if there are any suggestions that'd be great.

Footnote on last row and page break on hypenation

Posted: 19 Feb 2014 06:32 AM PST

I have problem to make page break at specific place in Word document.
There is footnote and hypenation on row where I want to page break. There is space for 1 another row on page.
I cannot change size of footnote separator to change space on page because of influence on other pages.
I cannot insert page break because of hypenation and aligning (justify).
I tried to insert text block at the end of page to purge spare row. But unexpectedly paragraph (which is large more than 1 page) breaks page after first line
to make room for line which a push to next page by text block.
There is no "
Keep lines together", "Keep with next", "Page break before" or "Widow/Orphan control" checked.
Help me what can I do to make normal paragraph flow.

Thanks in advance

Easy changing text in multiple agreement types - somehow

Posted: 19 Feb 2014 01:09 AM PST

Hello,
its hard to describe. I got multiple agreement types. Every is different in only a few things, mostly are the same. I neeed to make it easy in one document, so I dont need to change one thing in eight documents, but only one.

What did I expect - I was trying to search for some checkbox usage. You have one basic template, if you select option 1 - it adds some text to some marker, if you select 2, it adds other text to some marker and so on. But this is how I was thinking about it, doesnt need to be this way.

Best reply will be, if there is any chance how to do it really easy to change text inside the agreement, because some types have same text (different than other types) so I dont need to change that one on multiple places aswell.

Thanks for your info, how to do this.

About my header problem

Posted: 18 Feb 2014 07:41 PM PST

The incorrect carryover of a Part B header to Part C happened because I did not check "make first page different" or whatever it's called. I didn't try it because I never needed it in the past, but it sort of makes sense.

Unprotect macro in Word 2003

Posted: 18 Feb 2014 06:44 PM PST

I have a document where the user fills in fields on the front page.  These fields populate the header and footer.  There are about seventy "sections" in the document - both the footer and the left side of the header are identical throughout but the right side of the header changes.  I have written a macro to print preview the document (so the user can see that the header and footer have, indeed, been populated) then to hide the fields as these are no longer required.  For this to work, I have to protect the document.  The macro works like a charm until I attempt to unprotect the document (so it can be edited).  I have tried both of the following codes (but not in the same macro!), with the same result:

ActiveDocument.Unprotect

ActiveDocument.Unprotect Password:=""

After the macro has run, I am faced with Word telling me it's updating the table of contents and do I want to update the page numbers only or the entire table.  There was no mention of any table of contents in the macro.  Because Word was so insistent on updating the table of contents, I included that in the macro.  Again, it worked like a charm until I put in the code to unprotect the document.  I was again faced with Word telling me it's updating the table of contents, with the same questions, even though it had just done that.  Yes, the document is unprotected, but I need to not be asked about updating the table of contents.

My macro is currently:

    ActiveDocument.PrintPreview
    ActiveDocument.ClosePrintPreview
    Selection.HomeKey Unit:=wdStory
    Selection.MoveDown Unit:=wdLine, Count:=2
    Selection.MoveRight Unit:=wdCharacter, Count:=2, Extend:=wdExtend
    Selection.EndKey Unit:=wdLine, Extend:=wdExtend
    Selection.MoveDown Unit:=wdLine, Count:=13, Extend:=wdExtend
    Selection.MoveRight Unit:=wdCharacter, Count:=1, Extend:=wdExtend
    With Selection.Font
        .Name = ""
        .Italic = False
        .UnderlineColor = wdColorAutomatic
        .StrikeThrough = False
        .DoubleStrikeThrough = False
        .Outline = False
        .Emboss = False
        .Shadow = False
        .Hidden = True
        .SmallCaps = False
        .AllCaps = False
        .Engrave = False
        .Superscript = False
        .Subscript = False
        .Spacing = 0
        .Scaling = 100
        .Position = 0
        .Kerning = 0
        .Animation = wdAnimationNone
    End With
    Selection.MoveRight Unit:=wdCharacter, Count:=1
    Selection.Find.ClearFormatting
    With Selection.Find
        .Text = "table of contents"
        .Replacement.Text = ""
        .Forward = True
        .Wrap = wdFindContinue
        .Format = False
        .MatchCase = False
        .MatchWholeWord = False
        .MatchWildcards = False
        .MatchSoundsLike = False
        .MatchAllWordForms = False
    End With
    Selection.Find.Execute
    Selection.MoveRight Unit:=wdCharacter, Count:=2
    Selection.Extend
    Selection.Extend
    Selection.Fields.Update
    Selection.MoveRight Unit:=wdCharacter, Count:=1
    Selection.HomeKey Unit:=wdStory
    ActiveDocument.Unprotect Password:=""
End Sub

Problem using MS Word Wildcard, bug or sth?

Posted: 18 Feb 2014 06:34 PM PST

Description:
Tick the Wildcard box in MS Word Find and Replace or Find window
>>
Perform an operation like Find StringA and Replace with StringB using Wildcard
>>
Uncheck the Wildcard box and close the Find and Replace or Find window
>>
In the Navigation Pane, type in StringC in the searchbox to perform the Find operation, then nothing happens - it won't highlight all the occurrences of StringC in both the document and the Navigation Pane headings context.

Question:
To troubleshoot, I'll have to do it the hard way by restarting Word namely closing the Word doc and opening it again. This surely doesn't make sense. There must be some quick solution or it's simply a bug?? Pls help me out!!!

Rich Text Content Control being copied in protected mode

Posted: 18 Feb 2014 05:54 PM PST

Dear Experts,

In my scenario, I have created an input form with a number of Rich Text Content Controls and the form has been protected for form filling.

Why I found unexpected is, in protected mode, if I copy all text in one content control and paste it to the other, not only the selected text, but also the content control is being pasted inside the target control.

This is serious in my scenario since the form has already been spread to whole company employees for form filling, and the data are expected to be consolidated by a consoldiation prgram, reading all input fields automatically and generate one output file. I have tested this scenario, for the field "txtEEPassportNo1", the program will wronly read the data as "60004 Passport 2" instead of "60004 Passport 1".

Any help will be appreciated.

Thanks,

Steven

Problems wrapping text in Word

Posted: 18 Feb 2014 05:18 PM PST

Hello,

I'm a rank amateur in Word. I'm trying to place a picture in a text box, and have the text wrap around the picture, but am encountering problems, as below:

1. In some cases, I'm able to select the various wrapping options "Square", "Tight", "Through", "In Front of Text,"  etc., but no matter which option I select, there is not affect on the text (The wrapping remains unchanged).

2. In other cases, I'm not able to select the various wrapping options (In Layout, Text Wrapping).

Many thanks in advance if anyone has any ideas to point me in the right direction.

Unable to compress images in Word 2003

Posted: 18 Feb 2014 04:37 PM PST

Hello,

All of a sudden I find I'm unable to reduce the size of a Word 2003 document by double clicking an image, selecting "compress" then reducing the resolution. The "compress" button is simply no longer there - it literally was one minute than not the next.

Another change that happened at the same time was that I can no longer remove the white space at the top of each page in print view. I'm not so bothered about this, but thought it might be significant in diagnosing the problem.

Thanks for any suggestions
